BYU-Hawaii Physical Plant Motor Pool Rental Policy

 

Rental Operations

In addition to the fleet of vehicles assigned to departments, the Motor Pool Maintains a fleet of vehicles that may be rented for short periods to fill temporary needs.

 

Checking Vehicles In and Out

Vehicles may be scheduled through the Motor Pool Office between the hours of 7am and 5 pm Monday through Friday, excluding holidays. Applicants must adhere to this schedule.

Those returning a vehicle from a trip at hours other than those listed above should return the vehicle to the staff parking lot at Physical Plant or directly across the street north of the Motor Pool. Keys should be deposited in the slot in the Physical Plant office building by the front door. Anyone picking up a vehicle after normal business hours may pick up the key at the Security office. The vehicle will be parked in the parking lot at the Physical Plant office.

 

Transportation Order

Before a vehicle is picked up from the Motor Pool a signed Transportation Order must be submitted by department with an authorized signature.

 

Blanket Transportation Order

To simplify the scheduling process, Department heads may issue a Blanket Transportation Order to the Motor Pool. This form will permit authorized personnel to schedule and/or use vehicles without issuing a separate T.O. each time. If you wish to use this process, contact the Motor Pool for details.

 

Motor Pool Vehicle Cancellations

When departments determine they no longer need to use a vehicle previously scheduled, the department is responsble to notify the Motor Pool in a timely manner during normal business hours. If Motor Pool receives the notification by noon of the last working day before the day of the scheduled use of the vehicle, the department will not be charged a cancellation fee. If Motor Pool does not receive such a notice, a cancellation fee of four hours wil be charged to renting department.

 

Emergencies

If the vehicle breaks down or if you need to contact the Motor Pool for other reasons, call Motor Pool (675-3404) during normal working hours. After hours, notfy Security at 675-3911 and ask them to contact the Motor Pool Supervior. Receipts for any repair work required or gas puchases while on a trip must be obtained and turned in to the Motor Pool dispatcher at the completion of the trip.
