RESERVATIONS FOR CATERING SERVICES
To request catered service, please call/email the Catering office during
business hours at least five (5) days in advance of your catered event.
While every effort will be made to accommodate your request, BYUH Catering
cannot guarantee service when a request is made less than five (5) days
before an event. Orders recorded on voice mail or sent by email are not
confirmed until the Catering Office replies to the request. BYUH Catering
serves ONLY food and/or beverage from BYUH Catering; food/beverage items
from outside sources are not allowed.
Important Information
REQUIRED When Making Reservations:
1. the time of the event (arrival time, dinner service time, end time, etc.)
2. the expected meal count for the event
3. the program for the event, if any (speakers, entertainment, media presentation,
etc.)
4. special dietary needs, if any
PAYMENT
Campus billing with proper authorization and department account number is accepted. Cash or charge (VISA/MasterCard) payments are accepted at the Catering Office 8am-6pm Mondays-Fridays and 8am-1pm Saturdays.
TAXES
A 4.5% Hawaii State sales tax is applicable for all orders, excluding
authorized campus department purchases.
CANCELLATIONS
Cancellations are accepted up to three (3) days prior to your event. After
this time period, cancellations may be subject to a service charge including,
but not limited to costs incurred by to prepare for the catered event
(such as ordering of food items, equipment, linen, etc.)
AT YOUR CATERED EVENT
Event Time
Please be considerate in beginning and ending your event promptly at the
scheduled times arranged with the Catering Office. Should events fail
to comply with these scheduled times, the Catering Office may incur overtime
wages which may be passed on to your final billing.
Guaranteed Meal Count for Your Catered Event
The guaranteed meal count is required two (2) days before your event. This
count is not subject to reduction. The final billing will be based on
this final count or the actual number of guests at the event, whichever
is greater. If a guaranteed meal count is not given, the Catering Office
will consider count at the time of booking to be the final count and
charges will be made accordingly. The Catering Office is not responsible
to provide
a meal for all guests attending your event when a final meal count has
not been received. All food/beverage items and table/chair arrangements
are prepared for the guaranteed count. Last minute changes immediately
prior to the event start time or meal service are difficult to manage,
so please update the Catering Office on any and all changes. Request
for changes are subject to the Catering Manager’s approval. The
Catering Office reserves the right to assess an additional service charge
to your
order for changes that occur after the final meal count is received
and on the day of the catered event.
Meal Substitutions
Substitutions are allowed for special dietary restrictions. Such meal requests
must be made two (2) days prior to the event. BYUH Catering cannot guarantee
special meal requests that are made on the day of a catered event or prior
to the serving time at the event.
Leftover Food
Due to State Health Department guidelines and regulations, BYUH Catering
will not allow food and beverage left over from an event to be removed
from the location of service, whether for a sit-down, served or a buffet
meal.
Linen
Tablecloth and napkin colors are left to the discretion of the Catering
Office and is free of charge. Should your event require a specific napkin
color or more linen than your final meal count, an additional charge will
be applicable.
Staffing Standards
Please inform the Catering Office if you are planning a program (speaking
or entertainment) to be held before, during or after the meal so that
the meal service can be prepared accordingly. If your event will extend
beyond two (2) hours, arrangements must be made in advance. Buffet service
is available for 1 ½ hours only. To extend this meal service, the
Executive Chef’s approval is required, arrangements must be made
in advance and an additional service charge may be applicable.
Decorations
Decorations or table centerpieces are not included.
“We Deliver” Service
for On Campus
With advance notice, delivery service is available to any campus location
for a service charge of $5.00 per delivery. A specific time is arranged
for items to be delivered and a convenient time is scheduled for removal
of equipment. Paper products and disposable utensils appropriate for the
menu selected are included with “We Deliver” service. You
must provide the serving tables, if any, and the Catering Office will
provide linen tablecloths or placemats, if necessary. You are responsible
for the safekeeping of all Catering equipment dropped off at the site.
Any equipment lost or damaged will be charged for at replacement value.
Catering carts cannot be left with delivery orders.
